Aptelligence, LLC, d/b/a Reimbursa ("Reimbursa", "we", "us", or "our") is committed to protecting your privacy. This Privacy Policy describes how we collect, use, disclose, and safeguard your information when you use our platform and services.

Account information. When you create an account, we collect your name, email address, company name, and role.
Workforce and claims data. To deliver our services, we process data you submit about your workforce reimbursement claims, including employee information, training records, wage data, and board correspondence.
Usage data. We automatically collect information about how you interact with our platform, including IP addresses, browser type, pages visited, and timestamps.
Communications. If you contact us, we retain records of that correspondence.
How we use your information
We use the information we collect to:
- Provide, operate, and maintain the Reimbursa platform
- Process your workforce reimbursement claims and run Preflight QA
- Monitor workforce board policy changes and notify you of impacts to your claims
- Communicate with you about your account, updates, and support requests
- Analyze usage patterns to improve our services
- Comply with legal obligations
How we share your information
We do not sell your personal information. We may share your information with:
Service providers. We engage trusted third-party vendors (cloud hosting, analytics, payment processors) who are contractually obligated to protect your data.
Legal requirements. We may disclose information if required by law, court order, or governmental authority.
Business transfers. In the event of a merger, acquisition, or sale, your information may be transferred as part of that transaction.
Text messages and mobile numbers
If you give us a mobile number and check the separate text message box on one of our forms, we use that number only to send the messages you asked for, such as deadline reminders and updates about your request. Text consent is optional and is never a condition of using our site or buying anything.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties, except service providers that deliver the messages for us. We keep a record of the consent wording you agreed to and when.
